Hilltopper Invitational (10/23/2010)
The Western Kentucky University Academic Competition Club is pleased to announce that we will be hosting the Hilltopper Invitational, an academic tournament being held on October 23rd in Bowling Green, KY. We hope to see many teams from around the state of Kentucky attend, and since we are so close to Tennessee we hope some teams from the Volunteer state are able to make it as well. I will be serving as Tournament Director, so feel free to email me at [email protected] with any questions, concerns, or advice. Also, we will be requiring every school that attends to bring a working buzzer system This will allow things to run much smoother. If you do not have the ability to bring one of those two things, e-mail me and I'll see if we can work something out.
Registration
I'll send out registration forms to coaches via e-mail, but if you're a coach of an interested team and you haven't got one, please e-mail me and I'll be sure to send it to you. On this, you'll be asked to state how many teams you're bringing, and whether or not you'll be bringing buzzers, staffers, etc.
Payment
We would prefer you pay on the day of the tournament, rather than sending a check ahead of time. We will accept cash or check, and we can accept purchase orders I think. Please notify us ahead of time of what form of payment you'll be using.
Format
We will have a pool play format (probably pools of 4, 5, or 6 depending on field size) and will rebracket into another set of pools in the afternoon that are based on performance in the morning. This format will be similar to what Kentucky teams experienced at DAFT and Kentucky NAQT in the 2009-2010 season.
Questions
NAQT IS-97A
Fee
$70 Base Fee
-$10 for bringing a competent staffer
Schedule
We're probably going to have to start a bit late, due to a 10K run going on around campus that day. Most likely the first round will start at either 9 AM or 10 AM, with registration beginning an hour before that. Every team needs to arrive at least 30 minutes before the start of the first round. We hope to be done by 4 PM regardless. This will be update in much more detail soon.

The plan right now is to use whatever question provider Danville doesn't use if they hold their season opener again.

We're planning on running it again (we're looking at September 11th right now as the probable date). We'll decide on which one to use over the summer and I'll let you know as soon as we make a call Nick.Hilltopper22 wrote:The plan right now is to use whatever question provider Danville doesn't use if they hold their season opener again.

Hey, I'm hearing that the KAAC Coaches Conference may be the same weekend as this? Would that be much of a problem for teams?

October 23rd is open at the moment I think, but if someone else is planning a tournament that day we don't want to snatch their date.
Another possiblity would be to host this tournament on Sunday, September 26th. Would that work better for teams?

Alright, it looks like the options are:
A) Move the tourney to October 23rd
B) Do this tournament on a Sunday
C) Leave it on September 25th
Right now I prefer option A, but I want to leave it open to discussion for a little bit before making that decision.

No one has told me that moving this tournament to October 23rd is a bad idea, so I'm gonna go ahead and do that. If there is any objection, please let us know. More information will come this week, and I hope to hear from many teams over the next few months expressing interest.

I'm aware of that, but in the end I decided it wasn't that big of a deal. If teams have to come a bit shorthanded, that's OK. Also, there's a bunch of other dates on which to take the ACT, including the state mandated day in March for all the Juniors in KY.SoLegit12 wrote:This is an ACT date, btw

Are you all going to use NAQT IS for this tournament?
If you do, be sure to get different sets from Wright State and U of L.

At the moment, it's looking like we will be using NAQT IS. However if we find a good house-written tournament to mirror on this date, we may consider that because it's usually more affordable to mirror a tournament than purchase a vendor set.
Edit: Also, if we do end up using NAQT, it will likely be the option without computation.

Re: Hilltopper Invitational (10/23/2010)
We will be using NAQT IS-98 for this tournment. I know that's the same set as Rowdy Raider, but the only other set that will be available for this date is the one Louisville was using, which we absolutely can't use.
Edit (take 2): We'd like to use NAQT, but if this is going to cause problems for many teams, are there any suggestions?

Well HSAPQ writes better questions, maybe talk to them and see if you can get something from there? There are also a couple of housewrites that you can mirror: Solon's spring tournament from last year has not been released and is probably unfamiliar to the vast majority of your target audience.

I'll give it a bit of time. Right now no one has even registered, so I really don't know what kind of response we'll be getting from using NAQT.Kahloon wrote:Well HSAPQ writes better questions, maybe talk to them and see if you can get something from there? I'm gonna start e-mailing coaches around the state of Kentucky next week to get the word out about the tournament. Anyone who wants to register now can e-mail me. Teams that are not quite sure if you're coming or not, feel free to post in this thread.

I hadn't even thought about suggesting the use of an A-set.
Good job Maged.
I don't think any tournaments in Kentucky are using them, except maybe Beta...
It would be nice for the local teams anyway. (Not trying to be rude.)

This is really good idea, and I've emailed NAQT to see if I can get it changed to an A-set. I kind of forget they exist sometimes, but an A-set would work well for a field of Kentucky teams, especially since this is relatively early in the season.maged wrote:I think we'll probably attend this regardless, but wouldn't it make more sense to use an IS-A set?

The field is updated, and we have several schools who have either contacted me indicating they are (at least tentatively) planning to attend this tournament. Several additional schools have indicated interest as well. We still have plenty of space in the field (we'll probably cap at 20 or 24 teams depending on staffers) so if you're an area team looking for a good tournament feel free to contact me at [email protected]

I am quite sue we will be at this tournament, albeit weaker than usual.
There are several people on our team that will not be able to make it (including myself), but we will still likely send a couple of teams.

Re: Hilltopper Invitational (10/23/2010)
I'm setting a very tentative cap on the field of 20 teams, although we will probably expand this to 24 in the near future based on staffers, buzzers, rooms, etc. There is still plenty of space left in the field, although once the schools who have expressed interest start registering we anticipate the field to fill fast. I'd like to thank everyone who has expressed interest or registered so far. We look forward to hosting your teams in Bowling Green on October 23rd.
Edit: Some other info
- If you are attending, PLEASE have a coach e-mail me before the tournament. That is the only way of registering.
- We would prefer you pay on the day of the tournament, rather than mailing advance payment.
- All checks should be made out to the Academic Competition Club. If you do indeed end up mailing us a check before the tournament, make sure you notify me by e-mail so I can give the proper address.

The field is updated, and we're now up to 19 teams! We're flirting with the tentative cap of 20 teams, although we're hoping to expand that to 24 very soon depending on a few factors on our end.
Also, we need staffers. If you can come staff at our tournament we'd be very grateful, and would also feed you. If you're interested in helping out, please e-mail me at [email protected]

The field is tentatively full. I'm hoping to expand it to 24 pretty soon based on room and staffers. This is as good a time as any to beg for staffers. Please e-mail if you can come, because our club isn't all that big and we're gonna need some outside help if we want to pull this off.

Well, we were hoping to expand this to 24, but we weren't going to get the rooms to do that smoothly, and some parking issues (which I will explain in the next couple weeks) made us decided that staying at 20 teams was the best idea. I can start a waiting list for teams who still want to come but haven't registered yet, and add you in if/when teams drop.

As far as I can tell, the field at the moment is this:

Adair County B

Bowling Green
Drallab
Dunbar A
Dunbar B
Dunbar C
Edmonson County
Ezell-Harding A (TN)

Ezell-Harding C (TN)
Madisonville-North Hopkins
Marshall County
Owensboro
Woodford County A
Woodford County B
Woodford County C
Woodford County D
If anyone that posts on this board has any corrections to that, please post and let me know. Tomorrow I'm gonna e-mail the coach from every school attending and get confirmation from them on number of teams they have. I should get logistics posted here (and e-mailed to every coach) on Wednesday at the latest. One thing that will cause headaches: there are road closures in Bowling Green and on campus due to a 10K Race and associated events. I will give everyone specific directions this week to avoid these closures and get to the parking lot they need to park in.

The (slightly edited) logistical e-mail I sent out to coaches:
Coaches,
First, what we need from you: If you end up not coming or are bringing
fewer teams, tell us ASAP. Also, read the lunch arrangements and get
back to us ASAP on how many people will be eating lunch.
Here’s 12 important logistical points that should help prepare you for
Saturday:
#1: We are on Central Time in Bowling Green, so if you’re coming from
the Eastern Time Zone please make a note of that. Also, if you’re
having any issue in getting to the tournament that morning, please call
us.
#2: The current field can be found towards the bottom of this message.
If you are bringing less teams than we think or not attending, I need
to know immediately. Also, there is still one spot left in the field
so whoever e-mails me next can get another team in. We’d much rather
have 20 teams than 19 for bracketing reasons.
#3: We will be serving lunch. It is $5 for each student to get 2
slices of pizza, chips or a cookie, and a drink. They can purchase
a “meal ticket” at registration. Coaches, staffers, and bus drivers
will also get a ticket, but it won’t cost them anything, and their
lunch will be served in the hospitality room. We would like to know
roughly how many people will be eating from each school (we’ve already
heard from a couple schools on this) so we can estimate how much food
to get. Eating off-campus is probably not feasible, but if people
want something to eat besides what we’re offering there are several
eating establishments in the Downing University Center on campus.
#4: As I mentioned above, there will be a hospitality room. It won’t
be extremely fancy, but I think you’ll find in there donuts in the
morning and some snacks/desserts (along with lunch for coaches,
staffers, and bus drivers) around lunchtime.
#5: Parking will be located in the Adams Street Lot, which is located
at 14th and Adams Street in Bowling Green. Local schools (Edmonson and
BGHS) probably know where that is, but for out of the area teams, pay
attention to this next point.
#6: THERE WILL BE ROAD CLOSURES ON AND AROUND THE WKU CAMPUS. I can’t
stress that enough, because it means you have to take special
directions to get here, which are as follows:
A) Find your way to I-65. This is easy for Nashville and Louisville
area teams. For Lexington area teams, you can go down the Bluegrass
and hit I-65 Southbound in Elizabethtown. For teams coming from the
east, you can come in the Cumberland Parkway and hit I-65 Southbound
north of Bowling Green. For teams coming in from the west, I advise
taking the Natcher Parkway and hitting I-65 Northbound south of town.
B) Get off of I-65 at Exit 28. Travel the one mile on KY-446 until you
reach 31-W (also known as Louisville Road), and turn South.
C) Continue on South 31-W. After a few miles you will cross the bridge
over Barren River and come to an intersection. Continue straight at
this intersection onto Kentucky Street (68/80).
D) A couple miles after that, Kentucky Street will become Adams Street,
also known as Business 68.
E) Continue on Adams Street until you reach the corner of Adams and
14th Streets, where a parking lot is located. You should park there.
***A quick summary: Get to I-65, get off at Exit 28, go onto South 31-W
and just keep going street even as the road numbers and street names
change. Park at the corner of Adams and 14th Streets.***
#7: This tournament will be held in Tate Page Hall on WKU’s campus.
This is a bit of a walk from the parking lot, so budget a little extra
time to account for that. On this campus map, you will notice the
Adams Street Parking Lot is in the northwest corner of campus, while
Tate Page Hall is close to the southern part. It is #30 on the map:
http://www.wku.edu/ur/images/campusmap.pdf
#8: We will be meeting on the first floor of Tate Page, in the
Auditorium. (Room 132) We’re starting registration at 8:30 AM (we’ll
probably be there a little after 8 if you have to be there early for
some reason) and hope that you’re all registered by 9:15 AM when we
have the opening meeting. You should pay when you check-in. The fee
is $70, and teams can get a $10 discount for bringing a staffer. When
you arrive, please check in your buzzers, and we’ll tell you a room
number where you can send one of your kids to go set it up. That will
allow us to get started quicker. During the opening meeting, I’ll
explain a few things about how the day will run, and distribute
schedules to everyone. If you are bringing a staffer, please arrive as
early as possible so I can make sure everyone is on the same page.
#9: Games will start in the neighborhood of 9:30 AM. If we get back up
to 20 teams, we’ll put everyone in pools of 5 and have you play 4 games
in your pool. You’ll also have one round that will be a cross bracket
scrimmage, but this will not count in the stats, and any team is free
to not participate and just take a rest during this break, although we
hope you’ll want to play as many games as possible. If the field stays
at 19 one pool will have to have only 4 teams, and we’ll make
adjustments to the bye/scrimmage procedure. This means lunch will
likely be around noon or a little after. Teams will have an hour for
lunch. Everyone advances to the afternoon stage, where teams will be
rebracketed into pools of 4 (one may have 3 if the field stays at 19)
based on morning performances. This means your afternoon will be spent
playing teams who performed similarly in the morning, and it will
determine places 1-20 (or 1-19 or whatever.) A short awards ceremony
will follow, with trophies for the top 4 teams and medals for the 5
highest individual scorers. We hope to be done by 4 PM at the latest.
If this format sounds confusing, I’ll explain it more clearly Saturday
morning.
#10: We’re using NAQT questions for this tournament; the question set
is IS-97A. We’re using most NAQT rules, except the rounds will be
untimed and instead consist of 20 tossups. There are 3-part bonuses
for every tossup answered correctly, and these will NOT bounceback.
Also, this tournament has powers and negs, meaning that an early enough
answer can be worth 15 points instead of 10, but buzzing in during the
question and missing it costs your team 5 points. Additionally, the
hesitation rule is more lax than KAAC, as students have 3 seconds to
answer after buzzing in. Also, they do not have to wait for their name
to be called to answer.
#11: Our moderators are not overly experienced, and many will have the
tough task of moderating, scorekeeping, and running buzzers at the same
time. If you have someone on your team that can help lighten the load
on them during the game by taking over one the latter two jobs, please
do so for things to run smoother. Also, if they are reading too slow,
please tell me.
#12: Please let me know if you have any questions. We’re trying to
make this the best experience for you as possible. See you on
Saturday! Here is the current field, as noted earlier please let me
know ASAP if any of this is incorrect as far as you know:

Re: Hilltopper Invitational (10/23/2010)
Recent drops have left us with a 16 team field. This means that the prelims will feature 2 pools of 8 (round-robin), and in the playoffs we'll rebracket into 4 pools of 4. This means every team should get 10 games. Registration will run from 8:30 until 9:00 AM Central time, and we hope to start the first round at around 9:30 AM tomorrow, play 5 rounds, have lunch, then play the final two rounds of the prelims. After that we'll all gather together and we'll get playoff schedules to everyone. We hope to have everything (including the awards ceremony) done by 5 PM.
